Story of a customerA small Finnish construction company

It is a small but rapidly growing construction company that carries out a wide range of work, from minor repairs to larger subcontracting. Due to the nature of the work, the volumes fluctuated greatly from season to season, and this created a real need for a reliable provider of agency workers.

In the beginning they had large workforce fluctuations, unclear schedules and a serious deficiency of high-quality skilled workers. Staff management was virtually non-existent, the staff were confused and the masters were unable to manage their men.

“When our cooperation started in 2015, we started from mapping their needs and problems. As a natural continuation, we have strongly developed, contributed to, and improved the level of HR throughout their company,” says Priit Koik, CEO of EstEmploy. He also adds that they were working hard to create HR systems over a certain period – something that shouldn’t really fall under their responsibility.

The company employed ten people, of which only three were qualified to an adequate level; EstEmploy fired the rest. “We have added 20 employees from our side and thanks to HR management, we now have a situation where the company has a stable flow of projects, new sites are being added, and the first repeat customers have developed,” explains Priit. EstEmploy has an average of 15–17 men working there all year round, even 25–30 men during peak season.

When high-quality workforce arrives and personnel management systems are developed, the work is completed on time, customers are satisfied and this in turn brings new projects. Due to the increase in volumes, they are constantly in need of new people. “The biggest problem for smaller construction companies lies in the workforce – there seems to be work available, but they are afraid of accepting new projects because human resources are completely unaccounted for. If the company does not have a reliable partner who guarantees high-quality workforce, then the risk is high,” says Priit Koik. He believes that the success of many lies in finding a partner that can effectively guarantee the quality of skilled workforce.

“We can guarantee this today because we have so much experience and connections. We have succeeded and our partners have confidence in us. This is an important thing, especially in Helsinki, where there is enormous competition and huge control over paperwork. Surviving there is an art in itself and becoming a success story a great and positive indicator,” says EstEmploy’s manager in connection with the client.

The manager of the construction company says that they had no previous experience with agency workers from Estonia before they started their cooperation with EstEmploy. That’s why the expectations were specific and high – they wanted men that they needed, and for certain deadlines.

“It all started with one or two men that we sent to the large company for them to test the employees out,” explains Priit Koik, CEO of EstEmploy of how their cooperation started. Sending test workers is always the first step, because the company wants to see the level of the men and how paperwork with the provider of agency workers goes. This manufacturer of concrete elements used one provider of agency workers previously, from whom they received most of the required workforce. But when they provider had supply difficulties, the company was forced to look for a new partner. This is how they found EstEmploy in 2014.

Currently EstEmploy has more men working at the company than the other provider of agency workers. “We currently have 45 men working there, and we have contributed a lot to the HR side,” says Priit. The increase in the number of agency workers is significant and the fact that it is a stable number of workers shows a lot. “We are preferred, because we have shown reliability and high quality,” says Priit Koik and adds that EstEmploy has been doing very well in the concrete industry from the beginning.

According to Priit, this customer has an interesting profile – it is a large Finnish company with many employees, there are over a hundred concrete layers alone. As the margins are small in the concrete industry, there can’t be any downtime in production, and many providers of agency workers are always used to manage the risks. The use of several companies mitigates risk.

The Finn wants confidence, especially when using an Estonian company, and fortunately EstEmploy’s 10-year experience in operating in Finland provides plenty of it. Particularly strong argument is the fact that the company has been operating under the same name the entire time and there have been no major problems. “There are many companies that experience problems and in response quickly establish a new company and start operating from under that. We haven’t needed to do this,” says Priit Koik proudly.

The customer confirms that they had previously also used Estonian agency workers, but that they were forced to turn to EstEmploy because there was not enough professional labour available. This, however, slowed down the company’s growth. “The work in our factory is difficult, wet and sometimes dangerous, so it is almost impossible to find good local workforce. The former provider of agency workers was unable to provide us with enough agency workers from Estonia and we were forced to look for a new partner,” he says.

The client only has positive feedback about the cooperation that started in 2014. “We are very pleased with EstEmploy’s service. We have developed a good relationship and a cooperation from which both of us benefit greatly. The contribution from EstEmploy to finding the right employees has led to the growth of our company. This would not have been possible without sufficient and professional workforce!”

EstEmploy’s head Priit Koik says that although the competition in the agency workers market is tight, they do not accept all new offers. “We do a proper background check because we want to send our men to a good company. In addition, the gut feeling must be right,” explains Priit Koik their philosophy. They are not interested in work that is either short-term or with very short notice, but rather want to establish longer-term cooperation. “We won’t send two strawberry pickers tomorrow to work for three weeks, but what we will do is send three top-level welders within two weeks to work for half a year.”

When a medium-sized metal constructions installer turned to them with the desire of getting agency workers in 2018, both parties were rather cautious and began to cooperate calmly. “We didn’t know each other, it was a completely new contact that we didn’t get from someone’s recommendation but that was based purely on trust,” says Priit. The customer has now become a great partner.

The client needed three installers of metal constructions to a large construction site and EstEmploy was able to send them. As a result, the customer’s risks were reduced and they were able to sell more work to their main contractor. The co-operation was very satisfactory, and so, a year later the number of agency workers sent by EstEmploy has increased by 40%. “We started sending one type of men, that is to the production side. But now we are also sending them welders,” says Priit Koik, who shares that it is always interesting to grow with the client.

The client admits that they didn’t have experience with using agency workers from Estonia before they started their cooperation with EstEmploy. Thus, the biggest expectation was to get a professional and motivated additional workforce – an expectation which was met. “I am satisfied with our cooperation. With the help of agency workers from EstEmploy, we have been able to succeed with complex installation objects and managed quickly approaching deadlines,” he says. According to him, they use agency workers primarily because it is easier to schedule and manage projects.

He also points out that he appreciates the serious and speedy attitude with which EstEmploy approaches problems that have arisen, thanks to which good cooperation has been achieved. Priit Koik adds, “Indeed, we are also investing a lot in the back end and human resources of companies, and we are, for example, interested in men having the schedule for the next three months in advance. We dive deep into the project!”

What do our prices depend on?

Our goal is clear pricing, where the partner knows, what price they pay for their work. Our price always includes all employers’ obligations:

  • potential earnings

  • possible sickness benefits

  • pension insurance contributions

We have two pricing models. Depending on the nature of the work, we agree on either a monthly salary or a fixed hourly rate. The exact choice of model depends on previous agreements with both the client and the employees.

The goal is to maximize customer satisfaction

Careful employee selection is the basis for successful cooperation. We are substantially investing in temporary workers so that the skills and knowledge of the employees fully meet the requirements of your company. At the beginning of the cooperation, the needs of the company are explicitly identified, i.e. the client describes the required professional skills and personal qualities. During the recruitment phase, we thoroughly examine the candidate’s professional skills and work experience, other background information and suitability for working abroad.
Subsequently, we send the customer information about the candidates, the posting of the employees takes place after approval. To ensure continued high levels of customer satisfaction, we are constantly making sure that our recruited employees are qualified and that there are enough employees available at all times. However, if problems occur, we are permanently available to the customer so that the problems can be quickly resolved.
